Retiree Email Accounts

Central Piedmont Community College will provide employees retiring from the College with email accounts. For purposes of this document any reference to an “old account” or “employee account” will be to describe the email account that the employee had in the @cpcc.edu domain while working for the college. Likewise, any reference to a “new account” or “retiree account” will be to describe the email account that the retiree has in the @retiree.cpcc.edu domain.

Retiree accounts will be made available as part of Google’s Gmail program. These accounts will be managed in a specific domain designated as “name@retiree.cpcc.edu”. Creation of the account will be provided by CPCC staff, but all storage and management of messages will be handled by Google.

  • In most cases, the email name identification and address created for the retiree account will be identical to the username the individual had while employed; first name, period (.) and  last name such as john.smith.
  • Retirees may use this email account for personal and/or business purposes.

The Help Desk will be available to assist with any requests pertaining to employee retiree emails during the following Hours of operation:

During these hours of operation, the Help Desk will respond to any phone calls. However, during busy times, or if a client chooses to leave a voicemail, the Help Desk will return the call to the client within 2 Hours. This is the same for any emails sent to the Help Desk.

RETIREE ACCOUNT DETAILS
  • Details about the capacity and functionality of the email accounts is provided in the Google Gmail Help Document cited in the resources section of this document.

  • Retirees may use this email account for personal and/or business purposes.


RETIREES RE-EMPLOYED -
When a retiree is rehired back to the College, they will receive a standard employee account.  This account will remain active throughout the re-employment period. Consequently, retirees who are rehired will have two accounts, retiree email account and the standard employee account. For College purposes, employees need to have a primary account.  This primary account will be the standard employee account and is to be used for all College related business.

PROCEDURE TIMELINE:
Before retirement:
  1. Contact the ITS Helpdesk to request a retiree email account. This should done no later than two weeks before your retire.
  2. ITS will create the email account and communicate the initial password to you. You MUST change this password after you first login to your retiree email account.
  3. Please note that College related emails should NOT be forwarded to this account due to possible FERPA violations. Personal email in your existing account can be forwarded.

Importing Contacts into Gmail:

  1. Select the Contacts link on the left hand side of the page
  2. On the next page, select Import at the top of the page
  3. Select Browse...
  4. Browse to the .csv file exported from Outlook and Open File
  5. Select import at the bottom of the page

Importing One Message Into Gmail:

  1. Log in to CPCC e-mail account via Outlook, or owa.cpcc.edu
  2. Right click on the message
  3. Select Forward
  4. Send message to retiree e-mail account (firstname.lastname@retiree.cpcc.edu)

Importing Multiple Messages into Gmail:

  1. Log into CPCC e-mail account via Outlook or owa.cpcc.edu
  2. Select the messages one of three ways:
    • Hold Ctrl and click on desired messages
    • Click on first message, hold Shift, then click on the last message in sequence (this will highlight all e-mails
  3. Once these messages are selected, right click on any selected message
  4. Select Forward
  5. Send the message to retiree e-mail account (firstname.lastname@retiree.cpcc.edu)

Upon receipt of your report we will create a record in our tracking system and a tracking number will be provided, either over the phone or via automated email response, that you may use to identify this issue in any subsequent communications.
